This Payment and Refund Policy applies to all purchases of access to Course A, the news and talk production resource provided by headtalkvy. It covers digital subscriptions, one-time course modules on discussion formats, anchor segments, microphone setup, camera framing and studio workflows, as well as any bundled training materials or workflow templates. The policy governs transactions made through the commercial website targeting customers in the United Kingdom and explains how payments are processed, when contracts are formed and under what circumstances refunds may be granted.

Prices, currencies, taxes, and any additional charges

All prices are displayed in British Pounds Sterling (GBP). The listed price includes value added tax (VAT) at the prevailing UK rate where applicable. No additional charges are applied at checkout unless a customer selects optional add-ons such as extended access periods or premium workflow templates. Any such extras are shown separately before payment is authorised. Currency conversion fees may apply if payment is made from a non-GBP account; these are the responsibility of the customer and are not controlled by headtalkvy.

Accepted payment methods, payment authorisation, and payment security

headtalkvy accepts major credit and debit cards, PayPal and bank transfers for commercial accounts. Payment is authorised at the time of purchase through secure third-party gateways that comply with PCI DSS standards. Card details are never stored on our systems. Authorisation confirms the transaction but does not complete the contract until order confirmation is issued.

Order, booking, or service confirmation and when a contract is formed

Once payment is successfully authorised, an order confirmation email is sent to the address provided by the customer. This email constitutes acceptance of the order and formation of the contract between the customer and headtalkvy. Access credentials or download links for the Course A materials are delivered immediately after confirmation for digital content.

Cancellation rights and applicable cancellation periods

Under UK consumer law, customers purchasing digital content have a 14-day cooling-off period from the date of purchase. However, this right is lost once the customer begins downloading or streaming the materials, as permitted by the Consumer Contracts Regulations. Customers who have not yet accessed the content may cancel within 14 days by contacting [email protected].

Refund eligibility, exclusions, and non-refundable items or services

Refunds are available only where the customer has not commenced access to the digital materials and cancels within the 14-day period. Once any module on discussion formats, microphone setup or studio workflows has been viewed or downloaded, the service is considered fully performed and non-refundable. Promotional or discounted bundles are excluded from refunds after the cooling-off period or upon first access.

The step-by-step procedure and information required to request a refund

To request a refund, email [email protected] with the subject line “Refund Request”. Include the order number, date of purchase, customer name and the reason for the request. No other information is required unless further verification is needed. Requests must be submitted within the applicable cancellation window.

Inspection, approval, rejection, and notification of the refund decision

Refund requests are reviewed within five working days. headtalkvy will inspect the account to confirm whether access has occurred. Customers receive written notification of approval or rejection via email. If rejected, the email explains the reason, such as prior access to course content.

Refund method, processing time, and when funds should reach the customer

Approved refunds are issued to the original payment method. Processing typically takes five to ten working days, though bank transfer refunds may require up to fourteen days. The customer is notified once the refund has been processed.

Special rules for digital content, subscriptions, and promotional offers

Because Course A consists of digital content, the right to cancel is lost upon download or streaming. Subscriptions renew automatically unless cancelled before the renewal date. Promotional offers are subject to the same 14-day rule but become non-refundable upon access. No partial refunds are given for unused portions of a subscription period.

Failed payments, duplicate charges, chargebacks, and suspected fraud

Failed payments must be resolved within seven days or the order will be cancelled. Duplicate charges are investigated and refunded automatically if confirmed. Chargebacks are treated as refund requests and may result in permanent loss of access. Suspected fraudulent activity leads to immediate account suspension and referral to relevant authorities where necessary.

Mandatory consumer rights in the United Kingdom that the policy cannot exclude

Nothing in this policy affects the customer’s statutory rights under the Consumer Rights Act 2015, Consumer Contracts Regulations 2013 or UK GDPR. These rights cannot be excluded or limited by contract. Customers retain the right to complain to the relevant ombudsman or regulator if they believe their statutory entitlements have been infringed.
